Job Summary
In Europe we have offices in North London (Kentish Town) and Amsterdam (Amsterdam Life Sciences District), delivering products to customers throughout Europe. Our business is focused on delivering outstanding products, services, and overall value to our customers, so customer service is at the heart of what we do and is essential to our success. This full-time role is based in our Amsterdam site, near Station Hollandrecht.
Role Summary
In this role you will be a key part of the logistics team, liaising with our customer service and sales colleagues on order queries, troubleshooting and investigating discrepancies, whilst also supporting the small team by ensure that all customer orders are picked, packed and shipped on time (we process hundreds of orders daily on a same day dispatch). Flexible and adaptable, you notice what needs doing and swap between different responsibilities from emails and queries to stock receiving, back order assignment, picking, packing, QCing orders to managing supplies and keeping the warehouse/office a safe, tidy and fun place to work!
This role is one of the key people who are supporting the site logistics lead to ensure that everything is getting done each day and communicating with all the off-site team members, so this is a really great opportunity to make a really visible impact in a small and friendly team.
Essential Functions

- Monitoring the incoming emails, communicating clearly and confidently in written English to colleagues in customer service, sales support, field sales representatives and other members of the European operations team
- Investigating issues quickly to determine if corrections need to be made to orders shipping out that day, or if there were or were not item discrepancies or issues with shipments that have already been despatched/received by customers
- Work with your colleagues to ensure that orders received by the cut-off time are shipped out the same-day, other than in exceptional circumstances. This will require you to be flexible and do different tasks at different times of the day
- Ensure the office is clean, tidy and a nice (& safe) place to work, by working in a tidy and efficient manner at all times and reporting concerns to those around you/your manager through to the European Operations Director as required
- Using the ERP system to print pick tickets/assign orders
- Process stock shipments/backorder item receiving into ERP system
- Assign backorder items
- Carry out quality control checks on orders for accuracy
- Picking, packing and shipment of customer orders to meet the daily shipment targets, ensuring these tasks are completed in a timely, efficient and effective manner
- Process requests for marketing materials/support the dispatch and return of marketing materials on the scheduled dates for congresses and events throughout the EU
- Processing shipments using courier’s website or software
- Ship other miscellaneous items where requested
- Other projects or responsibilities as may be required from time to time.
Minimum Qualifications – Education and Experience
- Experience working in a logistics/organisational role. We are dealing with small and light items so ours is a more office style environment, in an office building not a traditional warehouse, but you will need to understand logistics projects and tasks.
- Confident reading and writing in English – you need to be able to look at emails and work out clearly what is being asked, and explain your answer and thinking in a clear and concise manner.
- Confident using a computer for routine office tasks (sending emails, using the warehouse ERP system to carry out transactions, look up data, basic use of excel etc)
- Confident engaging with Customer Service and sales support colleagues to review queries, mostly in emails/text chat, thinking about what is really being asked/the implications of a question
- Experience working with non-logistics colleagues (previous roles outside logistics, project collaboration etc)
- Experience investigating discrepancies or inquiries with stock and orders
- Calm and thorough personality, working in an ordered manner through situations and problems
- Able to describe situations where they think ahead and identify proactive solutions before problems arise
- Happy working in a non-hierarchical self-managed team environment, with a flat structure
- Flexible to work on allocated tasks and move between tasks during the day in response to team requirements
Preferred Qualifications – Education and Experience
- Understanding of spoken Dutch
- Confident working with volumes of data in the ERP system manually checking own work and following processes
- Internally self-motivated, enjoying challenging yourself to be more efficient and out-perform yourself!
- An efficiency and improvement mindset, being curious about why and how, not just what.
Work Environment & Physical Demands
