BioLegend (a division of Revvity, Inc.) has an immediate opening for a Administrative Assistant. In this highly visible role, you will assist BioLegend’s Leadership and HR teams in a wide variety of tasks, interact with employees and outside vendors in various capacities, plan and coordinate company-wide events and meetings (including gathering information and creating presentations), arrange travel for the Senior Leadership Teams, and other general administrative support.

Essential Functions

  • Plan, set-up, and coordinate meetings with members of the leadership and HR teams, including creating agendas, ensuring audio/visual availability and operation, including video conferencing, as appropriate, ordering and coordinating food, and similar responsibilities.
  • Interface with employees with HR-related questions and direct them to specialized HR support or as otherwise appropriate.
  • Manage, collect, and arrange delivery of documents, both physical and electronic, and other files for the leadership and HR teams, including personnel and other employee records to internal and external persons.
  • Plan and coordinate corporate events and functions, such as quarterly and annual business reviews, all-hands employee meetings, company parties, and happy hours, and employee activities, like wellness classes, including all logistical matters and working with applicable third-party vendors.
  • Organize travel, meetings, and events for the leadership team and corporate visitors.
  • Maintain calendars and prepare expense reports for the leadership team.
  • Organize and coordinate new hire orientation training, and coordinate with new hires to ensure completion of all required documents and trainings within required timelines.
  • Communicate with, and host, a wide range of campus visitors, including organizing and planning for their visit, including giving them advance information, directions, and agendas, and accompany them to their internal destination and introduce them their company contact.
  • Prepare itineraries, maintain schedules and calendars, and prepare agendas and support materials for meetings.
  • Manage office supply ordering and distribution process for assigned company groups.
  • Take on various of tasks and projects as needed or otherwise directed.

Minimum Qualifications – Education and Experience

  • Minimum of 3-5 years of Administrative experience.
  • Intermediate to Advanced knowledge of Microsoft Office (Excel, MS Word, PowerPoint, and Teams),, Outlook, and other commonly used software.
  • Excellent people skills, including strong interpersonal skills, the ability to build and maintain positive and supportive working relationships, and excellent customer service skills.
  • Ability to perform at a high level of discretion on all confidential company and employee matters.
  • Must be able to maintain an approachable and friendly demeanor with competing priorities and demands.
  • Ability to be flexible, adaptable, responsive, and able to work effectively with multiple priorities and diverse work styles.
  • Excellent judgment, discretion, and the ability to maintain confidentiality.
  • Exceptional verbal and written communication skills
  • Effective organizational and problem-solving skills with the ability to set-up, automate, and track data and information.
  • Must be able to self-initiate activities, coordinate tasks, and exhibit strong project management and follow-up skills.
  • Appropriate intellectual and analytical skills to take information and distill key messages without supervision.
  • High School diploma

Preferred Qualifications – Education and Experience

  • Associates Degree or Bachelors in any field
  • Prior Biotech industry experience a plus

The base salary range for this full-time position is $28-35/hour. This range reflects the minimum and maximum target for a new hire in this position. The base pay actually offered to the successful candidate will take into account internal equity, work location, and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process. 

Please note that base pay is only one part of our total compensation package and is determined within a range. This range allows for the successful candidate to have an opportunity to progress within the position and develop at our company. This base pay range does not take into account bonuses, equity, or other benefits which may be applicable and are dependent on the level and position offered.

Work Environment & Physical Demands - Office

While performing the duties of this job, the employee regularly works in an office setting. Occasional exposure to a laboratory and warehouse environment.
